Agenda and Schedule
The agenda for each upcoming meeting will be posted in due time prior to each meeting, both on this web page and in the lobby of each building. This is generally four days before Open Meetings, and two days before Executive Sessions. Once posted, the agenda constitutes the official meeting announcement, which will include the date, time, and location.
Please read below for information regarding attendance by and participation of owners at meetings of the Board.

Open Meetings
Scheduling and Attendance
Open Meetings are scheduled at least once per quarter. Directors and Officers shall attend and participate in Open Meetings of the Board.
Unit owners (whose names appear on the title deed for your property, also known as Association members) may attend Open Meetings to observe the proceedings. Owners are not allowed to make motions, participate in discussions of open questions, or vote on proposals during the Open Meeting. However, every Open Meeting will include scheduled time for an Open Forum, where any owner may ask questions or make comments to the Board, and solicit opinions from other owners in attendance. Prior to each Open Meeting, the Secretary provides the Board with the written reports of officers, committees, and agents which will be reviewed at the meeting. Owners may request a copy of the packet, which will be available three days before the meeting, by contacting the Secretary or Managing Agent. During the meeting, additional reports may be entered into the record, and reports that were submitted in advance may be corrected. Following the meeting, the packet of reports as amended, corrected, and reviewed by the Board will be published and available to Owners.
Spouses or other family members that may co-habit with a owner but whose names are not on the title, tenants, renters, attorneys, and other designated representatives of an owner are not allowed in the meetings. There are no exceptions; a letter of authorization from an owner does not override this policy.
Representatives of the Managing Agent, employees of the Association, third-party service providers, advisors, or representatives of government agencies or other organizations may attend, by invitation, to provide input during deliberations or to present a program. The presence of any such personnel at a meeting will be limited to the time necessary for participation.
Open Forum
The Open Forum is for owners to provide feedback or ask questions on general issues concerning Association administration or management of the property. Please keep your comments, suggestions, and questions brief. Members of the Board will respond to your comments as appropriate. The Board will be best prepared to answer your questions if you submit them in advance to the Secretary.
The Board cannot take action on an item of business you raise (that is, vote to impose a new rule or policy, allocate a budget, etc.), however, unless it was on the agenda. If you wish for the Board to take up a proposal at a particular meeting, contact the President well in advance of the meeting to make your request.
Do not report routine maintenance issues (such as a burned-out light bulb) at the Open Forum of a Board meeting. These should be reported, as soon as observed, to the Managing Agent.
You also should not show up at an Open Forum expecting to discuss a particular customer service issue you might be having, such as repairs to your unit that are Association responsibility, your billing account, a fine you wish to dispute, a rules violation to report, etc. These issues should be handled outside of meetings. Executive Sessions
Executive Sessions are closed to unit owners, to maintain confidentiality of certain issues relating to particular owners, employees, and professional contracted agents of the Association, and to ensure integrity of the bidding process for contracts. Specifically, here are the issues that may be addressed in Executive Session:
- Litigation (pending and threatened);
- Matters related to formation of contracts with third parties (establishing requirements, reviewing bids, etc.);
- Violation hearings;
- Personnel matters (hiring, firing, raises, discipline, performance reviews, employee policies);
- Meeting with an owner about payment plan for delinquent assessments;
- Foreclosing on a lien.
If you have requested a hearing with the Board, or have received a notice calling you to a hearing (such as for a rules violation or reimbursement owed to the Association), the hearing will be conducted with you and the Board in Executive Session.
Owners who are not Directors or Officers are not entitled to view the minutes of Executive Sessions. At each Open Meeting, however, the Secretary will read aloud a report sumarizing previous Executive Sessions, including disclosure of lawsuits filed.
Owner Meetings
The regular Meeting of the Owners is held annually. It may also be called the Meeting of the Members. At this meeting, unit owners will elect Directors, and may make motions on any other business of the Association. Certain acts, such as modifications to the CC&R or By-Laws, establishment of long-term contracts, etc., may not be made by the Board, and require an affirmative vote by the owners at a Meeting of the Owners or through written ballot.
